Request Use of Space 

Policies and Procedures

  • UC Merced on Main is available to the campus community and public for event space, including mission-aligned activities, classes, and trainings.  
  • All university properties being reserved as required to follow the University’s policy on the use of university property and event arrangements.  
  • An event is defined as a non-reoccurring gathering of individuals for a mission-aligned purpose (e.g., class, training, reception, ceremony, seminar, etc.). 
  • In some cases, events may be determined as special events. Per campus policy, special events require a FABS permit submitted via citizenserve. A minimum of 15 business day lead time is required for submission in citizenserve. Special event requests shall be submitted to UC Merced PACE no less than 20 business days from the date of the event. 
  • The following events may be subject to recovery of actual costs:  
    • Events that are not mission aligned as determined by the Dean or Director. 
    • Events that occur outside of regular business hours of Monday-Friday, 8am to 5pm. 
    • Events that include food and beverages, including campus catering, external vendors, or bring your own food events (excluding water). 
    • Events that require additional AV/technology, event setup, or other additional items not a part of standard equipment in the room.  
  • Events may not store nor use the building kitchen area and supplies without advanced Dean or Director approval. 
  • Reservation time must include set-up and tear-down activities. Reservations that exceed their allotted time may incur additional charges.  
  • All non-university hosting groups are required to enter a facility usage agreement prior to the date of the event. 
  • Non-university hosting groups whose class or training is listed in UC Merced PACE’s student information system as a course are considered University affiliation and do not require a facility usage agreement.  
  • Events that are determined to recover actual costs shall be presented in the form of a quotation or estimate for the requesting host. 
  • All quotes or estimates must be submitted and approved by the Dean or Director prior to providing them with the requesting body. 
  • Payment for facilities usage may be paid via invoice, check by mail, or debit/credit card. Payment by cash is prohibited.  
  • All facilities usage requires a 25% deposit at the time of the contract executed. Deposit is non-refundable.  
  • Internal recharge rates apply to any active UC Merced affiliated group or Extension credits services partner. External rates include any non-affiliated group to UC Merced.  
  • Hourly Rate applies to reservations outside of normal business hours (8-5, Monday through Friday) and any over usage beyond the contracted reservation time.  
  • Any facilities usage cancellation or postponement must follow as specified in the facilities usage agreement. 
  • Generally, a refund is permissible up to 72 hours prior to the first date of usage. The 25% deposit is non-refundable.  
  • Refunds will be processed within 7-10 business days of notice.  
  • Refunds will be processed in the manner in which payment was received.  
  • All cancellations should be made in formal written form by emailing pace@ucmerced.edu and copying the departmental representative assigned to the reservation.
